Job Overview

Responsible for coordinating and managing all aspects of Capstone's corporate office from an administrative support aspect. Includes acting as intermediary between Capstone and building management for all matters relating to building maintenance, communication and building activities. Serves as main contact with field management as it relates to office administrative functions and support of field with these same functions.


  • Strong working knowledge of Microsoft Office products -- Outlook, Word, Excel & Power Point
  • Exceptional communication skills -- both verbal and written
  • Exceptional organizational skills
  • Ability to handle multiple complicated tasks at the same time
  • Ability to tactfully work with a wide array of individuals from throughout the organization
  • An acute ability to prioritize multiple tasks and frequently re-prioritize those as needs arise on a constant basis.
  • Ability to quickly and succinctly learn new skills and offer suggestions and ideas of ways to more efficiently and effectively run the organization

Principal Accountabilities


  • Corporate Gift Communications (new babies, illnesses, sympathy)
  • Corporate Office New Hire Orientation (setup of desk, packet of information, office walk through, Biometric setup and introductions to Corporate Associates)


  • Coordinate corporate events and meetings (Capstone U, celebrations)
  • Order lunches for Sr. Team meetings
  • Coordinate Children's Holiday party

Supply Management

  • Startup Site orders via Expense Watch
  • Office Supply Inventory via Expense Watch
  • Break Room Inventory via Expense Watch
  • Coordinate Associate Logo Clothing Orders
  • Maintain FedEx supplies

Office Equipment Management

  • Copiers and printers
  • Order copier and printer toner supplies
  • Monthly meter readings


  • Receipt and distribution of general faxes

General Office Management

  • Building management liaison including janitorial staff
  • Maintenance requests through building management CBRE via online web site
  • Coordinate Iron Mountain pickups and retrievals and maintains inventory spreadsheets


  • Distribution and inventory of Corporate Reading Materials (Ultimate Question)

Physical Requirements:

  • Sitting and/or standing for long periods of time
  • Typing /filing
  • Ability to lift 30 lbs.

Education and/or Experience:

  • High School Diploma
